Pikabase PLT (“Pikabase”, “we” “us”, “our”) take your privacy seriously. We are committed and ensure we are complying with available data protection laws and provide our users a safe and secure place to use our products and services.
To ensure our services, including mobile apps, websites and related backend services (collectively “Services”) can serve you as per expectation, we have to collect data, which includes your personal information upon registration and during the time when services are used.
The purpose of this Privacy Policy is to keep you informed and aware of how we use, handle and process the data and information that we collect and store upon providing the services to you, as our users.
Upon checking “I agree” during signup or registering process for the services, you acknowledge that you have been informed and notified, hence fully understood the terms of this privacy policy, along with the terms agreement, that you have agreed to the collection, storing and processing of your personal data and information as per described in the terms here.

Personal Data and Information we collected from you
We may collect the following personal data from you upon registration and during using the services
- Identity data such as name, date of birth and gender
- Contact data such as email address, phone numbers, addresses
- Profile data, such as username, profile picture, user settings and preferences for accessing the service
- Device data, such as device type, operating system type and version, and information needed for the purpose of the services like providing device specific user interface, functionalities, push notification etc
- Technical data such as IP (internet protocol) address, login data, browser version and type, time zone setting and location, bowser plug-in type ands versions if any, operating system and platform and other technical information on the device you use to access the services
- Transaction data such as detail of orders and payments from you, and the details of services and products you have purchased from us
- Usage data, such as information on how you use the platform, product and services for the quality improvement purposes
- Marketing and communication data and preferences, such as preferences in receiving marketing from us or related services
- User input and response data, such as the chat, message and comment features you use to communicate with school and other users
In exceptional circumstances, we may be required to disclose personal information to continue the services, such as when there are grounds to believe that the disclosure is necessary to prevent a threat to life or health, or for law enforcement purposes, or for fulfillment of legal and regulatory requirements and requests.
Features Specific Data
Basic profile information about the students enrolled in school to be identified by their parents or guardians, such as profile picture of the student, name, gender and date of birth
If the school is subscribing invoicing services, and relevant users (parents) agreed to enroll the services, following information may be collected for the purpose of creating invoice by school to parents
Account data like bank account and payment detail for the school fee transaction
Transaction data such as detail about payment from or to you, and the detail of the products and services for the invoicing purpose
Technical data, such as IP address, login data, device name, app version, browser type and version, time zone setting, coarse location service, operating system and other common technology informations on the device use to access the services if required by third party payment gateway providers
Some information may be required from time to time upon new feature releases, updates or enhancements. If the users do not wish to continue to provide such information for the purpose of feature functionality, users may ignore the features and treat the input fields as optional when using the services, without the need of providing such information.
Sharing of Contents
Lesson and Student Information
As school administrator and teacher, the user may enter lesson name, year and also the names and profile picture of the students in your school. It is the school administrator’s responsibility on what information they provide and share, parents or guardians may communicate with school if they have opinions and objections on the information about their children provided by school.
Between School and Parents
The app allows schools to share information to parents whose children enrolled in the school, and information provided by parents back to school. In such scenarios, school administrators shall take full responsibility for the data and information they are sharing, such as the necessity of verifying the authenticity of the parents account before they link and share the corresponding student’s information to the parents.
Parents should inform school immediately if they do not wish to enroll to the service, so school administrators shall exclude the particular student from enrollment and stop using services provided, hence remove the relevant contents from the services.
Between School and Teachers
School administrators also can assign selected registered users as school teachers. In such cases, users with a school teacher entitlement/role may access information of students shared by school. School administrators have to take responsibility and precautions on the privacy of information that can be accessed by the teacher. For example, school administrators should revoke account access if the teacher resigned from school, or there is suspicious activity like misuse of information obtained from the apps and services.
Use and disclosure of Personal Data
The Personal data we collected from you may be used by us, or transferred to and shared with third parties such as backend database service providers, language translation service providers, help desk related services, digital marketing services, newsletter services etc. These parties may use given personal data for the following reasons
- To facilitate our Service;
- To provide the Service on our behalf;
- To perform Service-related services; or
- To assist us in analyzing how our Service is used.
The reason for personal information sharing to third parties is to perform the tasks assigned to them on our behalf. However, they are obligated not to disclose or use the information for any other purpose.

However by nature there is no method of transmission over the internet, or method of electronic storage is 100% secure and reliable, hence we cannot guarantee its absolute security.

We only retain your personal data for the requirement of operation purposes such as providing services to ensure the features and functionalities to work as per expected, and for legal requirement purposes by law. We will cease to retain your personal data, or remove the means by which the data can be associated with you, as soon as it is reasonable to assume such retention serves no more purpose, such as and no longer necessary for any legal or business requirement. However, you are entitled to request modification or deletion of your personal data at any time.
Children and Minors
We do not sell products or services to children under age of 13. For those under age of 13, you may use our services including apps and websites, only with governance and consents of a parent or guardian.
Third Party and External Sites and Services
Our apps and services may contain links to other websites or services operated by other parties, such as payment gateways, business affiliates and merchants. You are advised to check the relevant and applicable privacy policies of those websites and services to understand how these services handle and collect information from you. We are not responsible for the privacy policy and arrangement operated by those parties.
Right to disclose Personal Data
You acknowledge and agree that we reserved the right to disclose your personal data to any legal, regulatory, governmental, tax, law enforcement or other authorities if we has adequate believe that disclosure of your personal data is necessary for the purpose of meeting any obligations, requirements or arrangements either voluntary or mandatory in order to cooperation or comply with legal order. To the extent permissible by law, you agree not to take any action against us for the disclosure of your personal data in such circumstances.
